ANNUAL MEETING CHAIR

EXECUTIVE BOARD MEETINGS TIMELINE

ANNUAL MEETING CHAIR

  1. Assumes overall responsibility for the quality of success of the annual meeting.
  2. Assumes overall responsibility for monitoring the budget.
  3. Assembles Planning Committee, including the following positions or subcommittees:
    • Program Committee
    • Hospitality Committee
    • Hotel Committee
    • Publicity Committee
    • Registration Committee

    Other committees, such as transportation, door prizes, etc., may be created at the Conference chair’s discretion.

  4. Provides reports at each Executive Committee meeting concerning the conference: location, cost, program, development, etc.
  5. Provides a post-annual meeting report for the executive Committee regarding attendance, estimated costs, etc. And a final financial report once all details are completed.

COLLEGE-EMPLOYER RELATIONS COMMITTEE

(Formerly Employer Recruitment)

Responsible for seeing methods for improved working relations and information exchanges between educations and employers.

This committee is chaired or co-chaired by an employer and/or educator who:

  1. Provides counsel to the Executive Committee and the Council regarding employer or educator issues.
  2. Works with Membership Committee to improve ratio of employer and school members.
  3. Solicits donations (either monetary or in-kind) from employers and schools.
  4. Provides suggestions regarding development opportunities for employer and school members.
  5. Works with Drive-In Workshop Committee to identify workshop topics.
  6. Works with Annual Meeting Chair to plan a session at the annual meeting.

AWARDS AND RECOGNITION COMMITTEE

Responsible for coordinating Don Hunt and Employer of the Year Awards as well as the Carol Quandt Student Essay Contest.

This committee is chaired or co-chaired by an educator and/or employer who:

  1. Coordinates the annual don hunt and Employer of the Year awards.
  2. Coordinates the annual Carol Quandt Student Essay Contest.

The approximate timeline for the awards and Recognition committee is:

January: Prepares cover letter, nomination form and criteria/guidelines for the Don Hunt and Employer of the Year awards and the Carol Quandt Student Essay Contest and mails to members. Nominations/entries are due the first of April.

April: Distributes student essays to judges and compiles results. Determines recipients of Employer of the Year and Don Hunt awards.

May: Orders plaques. Makes necessary arrangements for winners to attend.

June: Coordinates awards presentation for MC-ICE Annual Meeting luncheon.

July: Writes summary article for the newsletter and web site.

MEMBERSHIP COMMITTEE

Responsible for maintaining membership records, providing mailing labels, and publishing and distributing annual directory and addendum.

This committee is chaired or co-chaired by an educator and/or employer who:

  1. Keeps current and accurate membership records for the organization.
  2. Sends all money received for membership dues to the treasurer. The Membership Chair and the treasurer must establish a convenient procedure for deposits and record keeping.
  3. Prepares membership report for each executive Committee meeting and for Annual Report.
  4. Coordinates preparation and publishing of an MC-ICE membership directory.
  5. Provides mailing labels to members upon request.

The timeline for the Membership Committee is:

July: Provides report for Executive Committee meeting.

September: Compiles information for membership directory, delivers to printer, and mails to members.

October: Provides report for Executive Committee meeting.

February: Provides report for the Executive Committee meeting.

April: Sends request and invoicing for membership. Provides report for Executive Committee meeting.

June: Provides report for the annual meeting. Follows up on membership invoices, contacting schools/employers who have not yet responded.

NEWSLETTER EDITORS

Responsible for collecting and editing information, layout, printing and distribution to the membership of three newsletters per year, typically Fall, winter and spring.

The Editor solicits appropriate articles from Board members, along with photos when needed, editors stories and arranges for printing and mailing the newsletter. Funds for printing and mailing at bulk mail rates are included in the MC-ICE budget. The newsletter has a traditional logo and appearance to be followed. The Chair and Editor should agree on general editorial philosophy for cartoons, jokes, human interest stories, etc. The Editor also prepares a yearly summary for the Annual report.

The timeline for the Newsletter is:

Winter: Articles due early January. Prints and mails newsletters to current members for February. Issue includes:

  • Co-op Awareness month article
  • Perspective on mid-year by Chair
  • Articles on various professional development opportunities
  • Promotion of Drive-In workshop
  • State Director and other committee reports are optional

Spring: Articles due early April. Prints and mails newsletters to current members for May. Issue includes:

  • Promotion for upcoming conference by Conference Chair
  • Promotion of Drive-In workshop
  • Addendum to Membership Directory, if necessary, from Membership Chair
  • End of the year report from the Chair
  • State Director and other committee reports are optional

Fall: Articles are due early September. Prints and mails newsletter to current and old members for October. Issue includes:

  • Summary of Annual meeting
  • Drive-In Workshop promotion
  • Addendum to Membership Directory from Membership Chair
  • Articles on various award winners; employer and Educator of the Year and Carol Quandt scholarship recipient
  • State Director and other committee reports are optional

GOVERNMENT RELATIONS CHAIR

Responsible for staying abreast of legislation affecting cooperative education programs.

  1. Periodically meets with various state education legislators.
  2. Provides information on grant opportunities for cooperative education.
  3. Provides reports at the Executive Committee meetings an submits information for the newsletter as appropriate.
  4. Oversees promotion of "Co-op Month in Michigan". Contacts governor’s office in December to request updated co-op proclamation and sends to members in early January, along with tips for promoting co-op month during February.

PROMOTION AND PUBLICITY COMMITTEE

Responsible for improving awareness of cooperative education and MC-ICE through promotional materials and publicity releases. Also responsible for updating existing printed materials and maintaining approved standards for new publications of the association.

This committee:

  1. Works with Executive Committee regarding updating and maintaining the standards of existing and newly printed material for the Council.
  2. Maintains the integrity of the colors and logo of MC-ICE, recommending updates as necessary.
  3. Plans, coordinates and executes activities requested by the Executive Committee or other committee chairs within budgetary constraints.
  4. Maintains accurate records of activities, materials and budgets.
  5. Assists in the promotion of the Annual Meeting, Co-op Challenge, and Drive-In Workshops.

EXECUTIVE BOARD MEETINGS TIMELINE

June - Annual Meeting

July - 1st Executive Committee Meeting for the new fiscal year. Activities include: review of Annual Meeting, Formation of Committees, Election of Officers, review of Membership, review of Annual budget and goal-setting for the upcoming year.

August/September - Committee Meetings

October - 2nd Executive Committee Meeting. Activities include: review and finalize planning for Drive-In workshop, review planning for Annual meeting and Co-op Challenge.

November - Committee Meetings and Drive-In workshop

December/January - Committee Meetings

February - 3rd Executive Committee Meeting. Activities include: review membership invoicing process and finalize planning of Drive-In workshop.

March - Committee Meetings and Drive-In workshop

April - 4th Executive Committee Meeting. Activities include; finalize invoicing letter and annual meeting plans, as well as discuss Co-op Challenge.
